Description
The Office of Student Life is focused on building a strong foundation to ensure every student's Indiana University (IU) experience is positive, safe, healthy, and meaningful. The Office of Student Life helps students navigate their time at IU, providing the tools they need to be successful in school and after graduation. Students are our priority, and their health, safety, and overall well-being are our core mission.Student Life Communications and Marketing is responsible for strategizing, creating, implementing, and assessing the marketing and communications efforts for the Office of Student Life and the nearly 40 departments within it. This team creates integrated marketing communications through digital and print campaigns, photography, video, writing, social media, and more. This department is made up of approximately 6 full-time staff, 2 part-time staff, and 12 student staff.
Job Summary
The Part-time Operations Specialist is responsible for keeping day-to-day communications and marketing tasks and promotions moving forward, essentially serving in an office manager role. The work that Student Life Communications and Marketing does needs to be implemented across multiple mediums and that's where the Operations Specialist comes in; ensuring that the work done goes out throughout campus and beyond, effectively reaching various target audiences. This includes implementing digital and print campaigns, ensuring information and promotions are accurate and posted online in a timely fashion, distributing tabling materials and other marketing pieces where they need to be, collecting data regularly to help guide future marketing and communications efforts, and ensuring projects stay on track.
Department-Specific Responsibilities
- Helps ensure deadlines are met and promotions are implemented
- Assists setting up projects in the project management system
- Helps ensure files are organized (video b-roll, invoices, etc.)
- Keeps records and updates for items such as hours of operations, development initiatives, organizational charts, implementation of marketing and communications.
- Manages online calendar
- Manages the IU Events Calendar (LiveWhale), connections with beINvolved (student organization calendar), and digital screens
- Manages and schedules content for our screens: IMU, Residence Halls, Recreational Sports, Student Health Center, and more
- Submits digital ads to partners' digital screens
- Manages poster distribution/signage/print pieces
- Manages temporary clings in the IMU, Student Health Center, Rec Sports facilities, and more
- Manages distribution of rack cards and brochures to Student Life offices and campus partners
- Coordinates materials for tabling for larger Student Life initiatives (i.e. Red Carpet Days, New Student Orientation, and Welcome Week)
- Ensures content is accurate across platforms including, but not limited to: Google Business Accounts and YouTube channels
- Assists with simple website updates and ensures content is accurate
- Assists creating monthly, quarterly, and annual reports
- Manages projects, emails, websites, media mentions, and more
- Assists where possible with social media reports
- Works with Assessment department to collect data from colleagues (event attendance, participation, etc.)
- Manages student employment processes (hiring, payroll, etc.)
- Submits payment for marketing/production purchases
- Orders supplies when necessary
- Assists with meeting space reservations
- Performs copyediting and proofreading
- Serves as an additional reviewer of various communications (emails, print pieces, campaigns, etc.)
- Helps with other marketing tasks as necessary, which may include sending Salesforce/mass emails
- Develops online forms
- Works with all their co-workers in the office and numerous partners across campus to accomplish their tasks
- Manages details without losing sight of the big picture
Qualifications
EDUCATION
Required
- High school diploma or equivalent (such as HSED or GED)
- Bachelor's degree in English, communications, journalism, public relations, marketing, or related field.

Working Conditions / Demands
This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.

$22.00 - $25.00 per hour based on qualifications and experience
